Terms of Service

Welcome to Taughtful. By accessing or using our platform, you agree to be bound by these Terms of Service.

1. Acceptance of Terms

By creating an account and using the Taughtful platform, you agree to these terms. If you are using Taughtful on behalf of an organisation (such as a school or clinic), you agree to these terms on behalf of that organisation and warrant that you have the authority to do so.

2. Description of Service

Taughtful is a care team coordination platform designed to connect teachers, allied health professionals, and families. It provides tools for shared timelines, observation logging, and AI-assisted documentation drafting (NCCD evidence, SSG minutes, ILPs, KIS evidence, NDIS progress notes, case notes, and CRT handover briefs).

3. User Responsibilities

You are responsible for maintaining the security of your account and for all activities that occur under your account. When logging observations or uploading documents, you must ensure you have the appropriate rights and permissions to share that information, particularly regarding children's data.

4. Professional Judgment

While Taughtful uses AI to draft documentation based on your observations, it is a tool to assist, not replace, professional judgment. You are solely responsible for reviewing, editing, and verifying any AI-drafted content before using it in formal clinical or educational settings. AI-generated drafts are not professional advice (clinical, educational, or legal). The human who reviews and approves the document is the author of record.

5. AI Features and Subprocessors

Taughtful uses artificial intelligence for a specific set of tasks: drafting compliance documents from your observations; transcribing voluntary voice journals; synthesising care team inputs into draft meeting minutes; and suggesting additional observation prompts based on what you have already selected. Every AI output is a draft for human review.

Taughtful uses the following AI subprocessors:

  • Anthropic (Claude) — document drafting
  • OpenAI (Whisper) — voice-to-text transcription

Both providers are engaged under commercial agreements that contractually exclude submitted content from being used to train their models. 6. Your Rights Regarding AI-Generated Content

You have the right, at any time, to:

  • Request a human-only version of any document, generated without AI assistance.
  • Dispute any part of an AI-generated output. Disputed outputs are flagged and excluded from any further use; the underlying human observation remains intact and under your control.
  • Remove the AI's contribution entirely from a document.
  • Request the removal or correction of any underlying observation, subject to the consent and audit-trail provisions in our Privacy Policy.

7. Data Handling and Retention

Taughtful applies a structural approach to children's privacy: children's records do not contain surnames or dates of birth, and personally identifiable information is removed before any AI call by a two-pass de-identification filter. Soft-deleted observations and documents are purged from our database 30 days after deletion. Incident records — retained for accountability and audit — are kept for seven years from the date of resolution. Other retention periods are set out in the Privacy Policy.

8. Notification of Material Changes

Taughtful commits to notifying account holders before any material change to:

  • the AI model provider we use;
  • the jurisdiction in which AI inference or stored data is hosted;
  • the scope of what our AI is used for, beyond drafting from human inputs.

Notifications are sent to account holders by email and published on the Taughtful website. Where a change is required by an incident, notification follows the timelines in our AI Incident Management Plan (available on request).
